Organic BC is seeking a collaborative, organized and enthusiastic person with direct event management experience to fill the role of Conference Coordinator for the 2025 BC Organic Conference!

From planning and promotion to execution and follow-up, the Conference Coordinator will manage key aspects of this popular event, to be held in November 2025 in the Lower Mainland.

The BC Organic Conference is the organic sector event of the year, bringing together BC’s agriculture community over three days of speakers, workshops, networking and social events. It’s open to anyone interested in organic and sustainable agriculture, including farmers, food processors, researchers, students, like-minded organizations and members of the general public. JOB DETAILS

Employment Type: Temporary contract, from Sept. 1, 2024 to Jan. 31, 2026, with possibility of an extension for future conferences.

Hours of Work: Monthly hours will vary significantly, beginning with a few hours a month in the early planning stages to greatly increased hours in the months leading up to the conference. When averaged out over the duration of the contract, this position offers approximately 40 hours/month.

Location: Both remote (work from home) and in-person in the Lower Mainland (visiting venues and working on-site during the conference).

Wage: $30/hr

KEY RESPONSIBILITIES

Project Management & Financials

  • Create a conference workplan & assist in the preparation of conference budget
  • Review and approve all conference related expenses against budget
  • Organize and chair conference committee meetings

 

Fundraising

In collaboration with staff:

  • Assist in securing conference sponsorship
  • Apply for grants

 

Communications & Promotion

In collaboration with the communications manager:

  • Support the development of conference logo, webpages, conference program, and evaluations
  • Support conference promotion
  • Support the writing of promotional articles for the BC Organic Grower magazine

 

Conference Logistics

  • In collaboration with the conference committee, determine primary conference shape: date, length, theme, events, keynote speaker, session topics and speakers
  • Plan the reception & banquet, including entertainment
  • Coordinate social/networking activities
  • Organize off-site tours as applicable

 

Conference Facilities 

  • Research and book suitable location & be the primary contact with venue
  • Book accommodation blocks for delegates, presenters and facilitators
  • Organize all audio-visual equipment and technical support
  • Negotiate catering arrangements & be point of contact for catering staff

 

Presenters and Volunteers

  • Book presenters including keynote
  • Invite and confirm attendance of dignitaries
  • Book and support an emcee
  • Solicit and manage volunteers to assist in various roles
  • Coordinate presenter & volunteer gifts and honorariums

 

Trade Show

  • Solicit exhibitors
  • Work with venue to determine floor plan and placement details
  • Organize and manage tradeshow online registration, including exhibitor confirmation package
  • Act as primary contact for exhibitors before, during, and after tradeshow

 

Post-Conference

  • Submit required reports to funders where applicable
  • Prepare and present a final conference report with recommendations
  • Schedule a debriefing meeting with conference committee

 

QUALIFICATIONS & EXPERIENCE

  • Minimum 3 years of event planning experience
  • Exceptional organizational and communication skills
  • Ability to creatively solve problems and pivot when needed
  • Familiarity with a range of software, including Microsoft Word/Excel and Google Drive, Slack and Asana
  • Must have a reliable internet connection
  • Knowledge of, and interest in, organic and regenerative agriculture is an asset
