NOOA has provided Organic Certification Services to farmers, processors, and handlers of Organic food for over 30 years to the North Okanagan and beyond. The association is a non-profit, member driven Society accredited by the Certified Organic Associations of BC. Our mandate has been to provide friendly, cost-efficient certification services to the small scale operators in BC. We have expanded our area beyond the Okanagan Valley into the whole province and as such have a steadily growing membership that requires the Administrative positions to be split into Office services and Certification Services. The position to be filled is the Office Administrator.

Office Administrator Job Description:

This position would cover the administrative portion of the association’s business.

Responsibilities

  • Keeping the books
  • Tracking member payments and receipts
  • Reporting to COABC regarding fees and member status
  • Issuing checks and managing the bills
  • Generate budgets and reports for the board and as needed
  • Ensuring that the iCertify database (proprietary CRM program – training will be provided) is up to date with financial information and email, letters, inspection reports etc for each member as given by the CA (Certification Administrator)
  • Maintain the website for member listings, update information on certification etc.
  • Post newsletters, blogs and photos as needed
  • Maintain the calendar and ensure timely action on items
  • Answering and directing phone calls

Skills:

  • Proficiency in Microsoft Office -esp: WORD and EXCEL
  • Proficiency in Bookkeeping using SAGE or QuickBooks
  • Ability to work with WordPress
  • Friendly phone manners
  • Ability to work independently and with direction from the Certification Administrator.

Expectations:

It is expected that the successful candidate will be able to work remotely from their home office and use email, phone and text to communicate with the Certification Administrator, NOOA Board and members. An updated computer capable of managing the requirements for online access and Microsoft programs is expected to be part of the candidate’s home office.

The expected time commitment is between 4-10 hours a week during the winter and summer months and up to 24 hours a week during the application season in the months of March, April, May

Renumeration:

The position is paid hourly and to be billed bi-weekly or monthly via invoice to NOOA.

The wage range is between $18-22/hour depending on skill set.
